A library that lends books should be able to record readers, loans, returns, due dates and transaction history. For an entirely private collection, however, this section may not be necessary.
If the data is already stored in Excel, CSV, Access or another program, always ask whether it can be imported. A well-planned migration avoids manually re-entering years of work.
Also check the available export formats so that you retain the ability to reuse your data.
Assess where the data is stored: on the computer, on a local network or in a remote database. When multiple users need to work simultaneously, it is necessary to verify that the program correctly manages shared access.
Also ask whether multiple separate archives can be used and whether the database can be moved in the future.
USB barcode scanners, label printing and an OPAC catalogue can speed up many activities, but not every user needs them. Verify that these are genuinely included in the selected version and are not separate services required for normal operation.
The software should include simple procedures for creating and restoring backup copies. It is preferable to be able to choose the destination folder and retain copies on external media or network locations.
Check where the data is stored and who can access it. For catalogues that include users and loans, passwords, permissions and operation logs may be useful.
Check the supported operating systems, update frequency and the financial conditions for receiving updates. Review the changelog: it is a concrete indicator of how the program is maintained over time.
Before purchasing, it is advisable to test a demo version using some real data. Do not merely look at the interface: try adding books, performing a search, importing a small file, creating a backup and simulating everyday operations.
Check for manuals, tutorials, direct contact options and support in your language. Feature-rich software may become less useful when it is not accompanied by clear documentation or when support is difficult to obtain.
Licence conditions should clearly state duration, number of installations, any renewals, additional costs and the consequences of not renewing. It is also important to know whether the data remains accessible and can be exported.
